Privacy notice

Last updated: 29 October 2026

This notice covers the contact details of the people we deal with, such as your name, job title, email address and phone number. It does not cover your company's business records that we discuss with you. Those are handled under separate agreements and must not contain personal data.

1. Who we are

Syncline Data Ltd, a company registered in England and Wales (company number 17547385, registered office 8 Bell Lane, Hatfield, AL9 7AY), is the controller of your personal data. Contact us at info@synclinedata.co.uk or by post at our registered office.

2. What we collect and where from

  • From you: your name, job title, company, work email and phone number, and our communications with you, through our website, our inventory form, email, phone or meetings.
  • From public sources: business contact details (name, job title, company, work email and phone number) from Companies House, company websites, LinkedIn and business information services.
  • From your colleagues: for example, if they name you as a contact on our inventory form.
  • From our website: only what you enter in our contact form. Our website does not use cookies or analytics. See our cookie notice.

3. Why we use it and our lawful basis

We use your data to reply to enquiries, contact businesses about our services, agree and manage terms with your company, send occasional business emails and keep business records. Our lawful bases are:

  • Legitimate interests: running and promoting our business and dealing with business contacts.
  • Contract: where you contract with us personally, for example as a sole trader.
  • Consent: for marketing emails to sole traders and partnerships.
  • Legal obligation: for example, tax and accounting records.

4. Who we share it with

Our service providers (such as website, email and file storage providers), our partners and prospective buyers, our professional advisers, and authorities where the law requires. We share only general descriptions of your company's records with partners and buyers, and share your name and contact details with them only with your agreement.

5. International transfers

Some of our partners, buyers and service providers are outside the UK, including in the United States. Where we transfer personal data outside the UK, we protect it with UK adequacy regulations (including the UK–US data bridge) or the UK International Data Transfer Agreement or Addendum. You can ask us for a copy.

6. How long we keep it

  • Prospects who do not respond: up to 12 months.
  • Enquiries that do not lead to an agreement: up to 2 years from our last contact.
  • Agreements and related records: 6 years after the agreement ends.

7. Your rights

You can ask to access, correct or delete your data, restrict or object to how we use it, or receive it in a portable format. You can opt out of marketing emails at any time, and withdraw consent where we rely on it. Giving us your data is voluntary, though we need contact details to reply or work with you. We do not make decisions about you by automated means.

To use your rights or make a complaint, email info@synclinedata.co.uk. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
